Common CID Functions

The following is a list of common CID functions and their procedures. All of these procedures start from the Student System Main Menu. The instructions for accessing this menu are listed below under "Guide for Main Menu". As you follow the steps in each procedure, you may see a Direct Command prompt. For example, "DIRECT COMMAND:   RG RG" means that you would type RG RG on the red comand line at the bottom of the screen, starting from the Student System Main Menu.

GUIDE FOR MAIN MENU
CSSN Sign-on to Mainframe.
Step 1:       Click the Mainframe icon.
Step 2:    Type User ID and Password 
Step 3: At The FCCSC Main Menu, Type ‘ST’ (for Student Records) <Enter>            
Step 4: Type ‘1’ (for Central campus) or ‘2’ (for North) or ‘3’ (for South) <Enter>
You are now at the Main Menu
To sign off, hit F2 untul you get back to the FCCSC Main Menu, Then hit F2 one more time to terminate the connection.

To find student’s SSN by name.
Step 1:   From the Student Information System Menu, tab cursor to where ‘*Student ID’ or ‘*Student Name’ appears (on a green line)
Step 2:  Press F1
Step 3: In the Student ID Help Box, type an "X" next to "Select Student by Student Name"
Step 4: Type Student’s last name  <Enter>
Step 5: Tab, Type Student’s first name <Enter> OR press  <Enter> key until the name appears.
Step 6: Use the arrow up key (^), to the student of choice <Enter>
This will bring the student’s information into the application you are performing

ADMISSIONS MENU
 
View application screen and general information.
Step 1:   DIRECT COMMAND:        AD AP CC
Step 2:  Type ‘D’ (for display)
Step 3: Tab, Type Student's college issues ID number.  <Enter>

NOTE:    To view the codes of a specific area with an asterisk (*), Tab to area (the green line) and press F1.  To find a specific code or to view options either type in the code on the red line or press <enter> until the desired code appears. Press F2 to return.

NOTE:  To determine what transcripts are required or have been received and/or evaluated.

 

DIRECT COMMAND:        AD CR TR

Step 1:                                    Type Student's college issues ID number.. <Enter>

                                OR          Press the F4 key from the AD AP CC screen

Electronic Transcripts - To access Electronic Transcripts  - (2 Options)

This screen shows which institutions the student attended and which transcripts have been received and evaluated.

POST SECONDARY SCHOOL (College and/or vocational transcripts)

Step 1:                                   Type PS

Step 2:                                   Type Student's college issues ID number.. <Enter>

Step 3:                                   Type ‘D’ (for display) <Enter>

Note:      If there’s only one school, that will appear.  To view a listing of colleges/universities and/or vocational schools attended,

                                                Type ‘B’ in the Action Code <Enter>,

TO VIEW ELECTRONIC TRANSCRIPTS (Post Secondary)

Step 4:                                   Use the Arrow Up (^) key to move the cursor to the line of the transcript you would like to see, press <Enter>

Note:      The transcript should appear at the bottom of the screen, press F8 to scroll to other terms.

Obligation/Hold Screen - To view students’ obligations/holds

 

DIRECT COMMAND:        AD AP AS or AD HO HO

Step 1:                                   Type Student's college issues ID number.. <Enter>

Override A Pre-/Co-Requisite Block

 

DIRECT COMMAND:        AD HO OV <Enter>

Step 1:                                   Type “D” (for Display)

Step 2:                                   Tab and type Student's college issues ID                                               number.<Enter>,   if not already there.

Step 3:                                   Tab (or move cursor) to Action Code, Type “M” (for                                                Modify)

Step 4:                                   Tab down until the first green line on the bottom half of the                                                page

                                NOTE:    Type 1044 for Pre-requisite override or

                                                Type 1076 for Co-requisite override or

                                                Any other code (i.e., 1157, 1151, etc.)

Step 5:                                   Type the term for the override

                                NOTE:    The Term is a 5-digit number (i.e. 1996-1997 Fall =                                                19971)

Step 6: (optional)                 Type the date the override expires

Step 7:                                   Tab to the Course ID and Type in the course (only when                                                using 1044 or 1076) <Enter>

If the above was done correctly, the bottom of the screen will indicate “Override added /modified successfully."

Test Scores

Display Test Scores

 

DIRECT COMMAND:        AD TS <Enter>

Step 1:                                   Type TO

Step 2:                                   Type                                               <Enter>

Step 3:                                   Type ‘B’ (for browse) <Enter>

                                NOTE:    This screen should list all the test taken by the student, but                                                 not the test scores

Step 3:                                   Use the Arrow Up (^) key to move the cursor to the line of                                                the test you would like to see

Step 4:                                   Press <Enter>

                                NOTE:    If done correctly, test screen will populate and test scores                                                will appear.  If not, please follow the note at the bottom of                                                the page.

To Add/Modify Test Scores 

 

DIRECT COMMANDS:      AD TS <Enter>

Step 1:                                   Type ‘TO

Step 2:                                   Type Student's college issued ID number<Enter>

Step 3:                                   Type ‘B’ (for browse)

NOTE:   This screen should list all tests taken by the student, but not the test scores

Step 4:                                   Press F2 to return

Step 5:                                   Type ‘A’ (to add new test scores)

Step 6:                                   Tab to Test Type, Type test type code

NOTE:    To view options of the codes for the test scores you are adding, press F1 and F2 to return

                For:  SAT -            RSAT

                        ACT -             EACT

                        CPT -              CPT

Step 7:                                   Tab to Date Taken and Type in test date <Enter>

NOTE:    The date should consist of 8-digits (i.e., mm/dd/yy) or (i.e., mmddyyyy)

*NOTE: When putting on SAT or ACT scores for students (FTIC and Transfers) starting BCC Fall 2006 (20071), advisors/counselors, etc.  must use the 2006-2007 Test Cut-off scores;  by entering 06/01/2006, as the Test Date (for all test dates prior to 6/1/2006) to ensure proper placement.  Also, when substituting 06/01/2006 as the test date, advisor/counselor must leave comments (F9) of the original test date.

 

NOTE:  The *Sub Test should automatically populate as follows for appropriate tests.  If not, please read note at the bottom of the screen

Step 9:                   Type ‘M’ (to modify)

NOTE:    Can only put test scores on the green lines, cannot add scores on blue lines

NOTE:    Tab down and enter all the sub-test codes and scores for each area English, Math  & Reading

Step 12:                 Press <Enter>

If done correctly, “Test scores added/modified successfully,” will appear at the bottom of the page.   Always check the Display/View Test scores to see if scores were added correctly.

Change Primary Program Objective (Permanent change of major)

 

 

DIRECT COMMAND:        AD SO <Enter>

Step 1:                                   Type MO and Student's college issued ID number<Enter>

                                NOTE:    Student’s Primary Objective (major) should appear

Step 2:                                   Type ‘B’ (for browse) <Enter>

                                NOTE:    This will list all Primary Objectives (majors) the student has                                                 had.  Press F2 to return.

Step 3:                                   Tab cursor to Action line

                                NOTE:    Type ‘A’, to add a new primary objective (major)

                                                Type ‘M’, to change to a primary objective (major) the                                                 student has had previously.

Step 4:                                   Tab to Program ID (degree/major code) and type degree                                                code (major)

                                NOTE:    The degree code is the same except it will begin with either:

                                                1 for AA degrees  (i.e., Liberal Arts 1057, Business 1007,                                                 etc.)   

                                                2 for AS degrees  (i.e., Legal Asst. 2172, Criminal Justice                                                 21101, etc.)

                                                A for AAS degrees (i.e., Account Technology A002, etc.)

                                                5 for Health Science Certificates (i.e., Dental Assist. 5217,                                                 Medical Asst. 5215)

                                                6 for Other Certificates (i.e., Accounting –General 62141,                                                 General Marketing 62401) 

If Changing Catalog Year: (Optional)

Step 5: (Optional)                 Tab to Effective Term and type in new term

Step 6:(Optional)                  Tab to Catalog Year, if changing catalog and type in new catalog year

Step 7:                                   Tab to Primary Objective and type ‘Y’ <Enter>

Now, “Student already. . ., press enter to accept,” should appear at the bottom.            

Step 8:                                    press <Enter> again

 

If done correctly, “Student Objective . . . add/modified successfully,” should appear at the bottom of the screen. 

 

NOTE:  CURRENTLY STUDENTS WILL HAVE TO BE APPLIED FOR GRADUATION.  HOWEVER, HOPEFULLY IN THE FUTURE, STUDENTS WILL NOT HAVE TO APPLY FOR GRADUATION IN THE NEW SYSTEM, THE COMPUTER WILL AUTOMATICALLY APPLY THOSE STUDENTS WHO ARE ELIGIBLE.

Student Records Menu

View Students’ BCC transcript

 

DIRECT COMMAND         SR TR DT

Step 1:                                   Type Student's college issued ID number. <Enter>

Note:      Press <Enter> to continue to go through the student’s transcript in chronological order.

TO PRINT

Step 2:                                   Press F5 (Alt. F5)

Step 3:                                   Tab and select, put an ‘X’ on all the items that apply, check                                                printer <enter>

Note: If done correctly, the statement “Student transcript printed on printer……?” will appear

 

 

1157 BLOCK (PROGRAM OBJECTIVE REQUIRES PLACEMENT)

 

Please Note: This block needs to be researched and verified before being removed.  Remember doing this procedure will permanently remove the 1157 Block.  This block will appear mainly for transfer students with no Reading course.  However, you need to verify which area the student is being blocked for (English, Reading and/or Math)

TO SATISFY PLACEMENT

 

DIRECT COMMAND:        SR TS SP SD<Enter>

STEP 1:                                 Type ‘M’ in the Action Code

STEP 2:                                 Tab, Type Student's college issued ID number

STEP 3:                                 Tab, Type/select Placement Area(s) blocked. <Enter>

NOTE:    Can Press F1 for options or type:
                                                ENG – English

                                                MAT – Math

                                                REA – Reading

NOTE:    Both prep course numbers in that particular area, (i.e., REA0004c, REA0006c, ENC0021, etc.) should populate for both levels

STEP 4:                                 Tab to ‘Status Indicator’, Type ‘B

STEP 5:                                 Tab below to ‘Satisfied’ and Type ‘M’ for each course(s)                                                and press <Enter>

NOTE:  If done successfully will state “Modified Successfully” and the courses should appear blue.  Check on the DA DA to verify satisfied.

 

1151 BLOCK (ENFORCEMENT COURSE REQUIRED)

NOTE THE 1151 BLOCK IS DIFFERENT FROM THE 1157

 

MEANING STUDENT TESTED INTO PREP COURSES AND IS REQUIRED TO TAKE A PREP COURSE EVERY SEMESTER UNTIL ALL PREP WORK IS COMPLETED.  IF THE STUDENT IS TAKING THE PREP THROUGH A PRIVATE PROVIDER, THEY MUST COMPLETE THE COLLEGE PREP COMPLETION FORM BEFORE THEY WILL BE ALLOWED TO REGISTER FOR OTHER COURSES.

 

The 1157 block means the student is in a program that requires test scores and no scores are on the system. 

The 1151 block is for students that have test scores and need to take a required preparatory course(s).

 

TO REMOVE THE 1151 BLOCK, FOLLOW INSTRUCTIONS UNDER AD HO OV.

 

1126 BLOCK (STUDENT REQUIRES ADVISEMENT TO REGISTER)

 

Students who receive the 1126 Block are Dual Enroll (DE), Early Admissions (EA) and/or Credit in Escrow (CE) students and are required to see an Advisor every semester.  If however, you see a student that is DE, EA and /or CE and they have graduated from high school, that student needs to have his/her status changed at Registration to have this block permanently removed.

 

View CLAST Test Scores & Alternatives

Degree Audit Menu

Print Degree Audit (Option 1)

 

DIRECT COMMAND:        DA <Enter>

Step 1:                                   Type DP

Step 2:                                   Tab to Student's college issued ID number field and enter the Student's college issued ID number<Enter>

Step 3:                                   For long-version press <Enter>

                                               For Short-version, Tab to blank line and type “Y” for                                                short version.

                                NOTE:    Printer should be assigned

Display Degree Audit (Option 2)

 

DIRECT COMMAND:        DA DA <Enter>

Step 1:                                   Type Student's college issued ID number<Enter>

Step 2:                                   Continue to press ‘Enter’ to view student’s degree audit

                                NOTE:    Check to see if student’s Program (major) code is correct.

Degree Shopping (Temporary change of major)

 

DIRECT COMMAND:        DA DA <Enter>

Step 1:                                   Type Student's college issued ID number<Enter>

 

To Change Program (major):  Degree Shopping

Step 2:                                    Tab to Program and type in new degree code <Enter>

                                NOTE:    The degree code is the same except it will begin with either:

                                                1 for AA degrees  (i.e., Liberal Arts 1057, Business 1007,                                                  etc.)   

                                                2 for AS degrees  (i.e., Legal Asst. 2172, Criminal Justice                                                 21101, etc.)

                                                A for AAS degrees (i.e., Account Technology A002, etc.)

                                                6 for Certificates (i.e., Market. Mgmt. 62402, Marketing                                                 Management 2402, etc.)

Step 3:                                   Continue to press ‘Enter’ or F8 to view student’s new                                                program degree audit

 

TO CHANGE CATALOG YEAR:

Step 2:                                    Tab to Term (catalog year) and type new catalog year                                                <Enter>

                                NOTE:    Term or catalog year is a 5-digit number, the last catalog                                                year and term

                                                (i.e., 1996-1997 -  Fall = 19971)

Step 3:                                   Continue to press ‘Enter’ or F8 to view student’s new                                                catalog year degree audit

 

If you want to change both the Program (major) and Term (catalog year) at the same time, type in the new numbers for both major and catalog year, then press <Enter>

 

 

 

 

Display Course Substitution/Waiver 

 

DIRECT COMMAND:        DA SW SW <Enter>

Step 1:                                   Type “D” (for Display)

Step 2:                                   Tab and type Student’s Social Security Number <Enter>

                                NOTE:  Be sure to check that the Program (major) code is correct.

Add/Modify A Course Substitution/Waiver

DIRECT COMMAND:        DA SW SW <Enter>

Step 1:                                   Type “D” (for Display)

Step 2:                                   Tab and type Student’s Social Security Number <Enter>, if not already.

                                NOTE:  Be sure to check that the Program (major) code is correct.

Step 3:                                   Tab (or move cursor) to Action Code

                                                If previous waivers appear below, Type “M” (for Modify)

                                                If no previous waivers appear below, Type “A” (for Add)

                                NOTE:  Do not press enter!

Step 4:                                   Tab down until the first green line on the bottom half of the page

Step 5:                                   Type in Program Area

                                NOTE:    This is the number in parentheses on the Degree Audit (ex. ‘02A’)

Step 6:                                   Type “R” (for replacement/reduce) for course                                                substitutions or to reduce credit hours/words

                                                Type “A” to add a course to an area

                                                Type “W” (for waive) to waive an area out

                                                Type “D” (for delete) to delete course(s)

Step 7:                                   Type the required program course when using “R” or                                                “D” (never type a course w/ “W”)

                                                For AS degrees, course-to-course substitutions, you                                                 type in the course number.

Step 8:                                   Tab, until you get to the next line (approx. 6 tabs)

Step 9:                                   Type in code for Substitution Reason. 

NOTE:    To view options press F1 key, then F2 to return.

NOTE:    If using “W” (waiving) or “D” (deleting) out an area you do not type in anything, just press <Enter>

NOTE:  WHEN YOU USING ‘W’ (WAIVE) OR ‘D’ (DELETE) TO WAIVE/DELETE OUT AN AREA ALWAYS PUT COMMENTS (F9) EXPLAINING

 

If the above was done correctly, the bottom of the screen will indicate, “Substitution/Waiver added or modified successfully."  If this does not happen, note the message at the bottom of the screen and correct.  Always check the Degree Audit, to insure that the substitution was done correctly.

 

 

 

 

Applying Students for Graduation

 

Prior to applying students, please verify the following:

·         Student has not been already been applied (either on RG RS FI LO or DA GE MG)

·         Student is in the correct major (DA DA or AD SO MO)

·         Student has completed or will complete all degree requirements (DA DA should show student is eligible)

 

DIRECT COMMANDS:      DA GE MG

(Student’s Social Security No. should be in the system)

 

Step 1:                                   Type “M” (to modify)

Step 2:                                   Tab to Expected Term, Type Term (5-digit term) <ENTER>

If the above was done correctly, the bottom of the screen will indicate, “Modified successfully." 

 

Note:  Always verify degree application on Financial obligation screen

DIRECT COMMANDS:      RG RS FI LO <ENTER>

 

NOTE: The graduation fee should appear showing a $7.00 obligation.

Step 3:                                   Tab to Course ID, Type Common Course No.

Step 4:(Optional)                  Tab, Type Campus Center

Step 5:(Optional)                  Tab, Type Class Status (O-open, F-full, C-cancelled, etc.)

Step 6:(Optional)                 Tab, Type Class Type (C-credit, N-non-credit, etc.)
